Storage Management Guide
1. Overview
In the storage management menu, you can register the storage connected to SHIELD Drive, manage the type, purpose, storage method, and security level, and set usage permissions (roles) and capacity for each storage.
In the list, you can check the name, description, type, purpose, storage method (secure/general), security grade, label, usage status, and modification date of each storage. You can filter by name using the top search bar and sort by column headers.
2. Storage Method (Secure Storage / Regular Storage)
The storage method is selected when registering. The storage method can only be set during the initial registration and cannot be changed afterward.
- Secure Storage: Files are stored by encrypting and obfuscating them. Choose this option when protecting data that is important for security.
- General Storage: Displays files from the storage linked as they are. Choose this option if you want to maintain the existing work environment using the current storage.
| division | Secure Storage | General Save |
|---|---|---|
| Storage Format | Storage after encryption and obfuscation | Save as is |
| Folder Structure | SHIELD Drive self-management | Display the actual folder structure of the connected storage as is. |
| Upload·Download, Create, Rename, Viewer Access | support | support |
| Move·Copy | support | Supported only within the same storage |
| delete | Move to Trash, Restore Possible | Immediate permanent deletion, irreversible recovery |
| Document Editing | Web/App Collaborative Editing | NAS·Security If the NAS is registered with SFTP, app editing (1 person) support (see Chapter 5) |
| Search, Recent Documents, Activity Log | support | Not supported |
| Version control, link sharing, folder download, favorites | support | Not supported |
| Network transmission, export, sharing | support | Not supported |
| Document Grade, Upload/Download Approval, Capacity Management | support | Not supported |
The storage methods that can be selected vary depending on the type and purpose. Combinations that cannot select regular storage are fixed to secure storage.
| type | Secure Storage | General Save |
|---|---|---|
| NAS / Security NAS | Personal Folder, Common Folder, Shared Folder, Teams Folder | personal box, common box |
| SharePoint | Common box, shared box | Common function |
| Google Drive | Common box, shared box | Not supported |
| Amazon S3 | Common box, shared box | Not supported |
3. Storage Registration
Click the [Storage Registration] button at the top of the list to enter storage information in the right slide. The input fields vary depending on the type.
| type | Selectable Uses | Main Input Items |
|---|---|---|
| SharePoint | Common box, shared box | SharePoint folder URL to connect, name, description |
| NAS / Security NAS | Personal Folder, Common Folder, Shared Folder, Teams Folder | Folder URL (IP), Connection Protocol (WebDAV/SFTP), Folder Path, Port, Account, Password (Select Edge for secure NAS integration) |
| Google Drive | Common box, shared box | Google account to connect, name, description |
| Amazon S3 | Common box, shared box | Bucket name, region, access key, secret key |
- If the entered URL or authentication information is invalid, the registration will not be completed.
3-1. Registering General Storage
To link the files of the existing storage as they are, you must select [Standard Storage] as the storage method during registration. Storage registered as secure storage cannot be changed to standard storage afterwards.
- Select NAS, Secure NAS, or SharePoint from the type.
- Select the purpose. (NAS·Security NAS is for personal storage or shared storage, SharePoint is for shared storage)
- Select [Standard Save] in the storage method section.
- Enter connection information, name, and description. If you select General Save, the document grade and approval usage items will not be displayed.
- Click [Register].
3-2. NAS Integration
- The connection protocol can be selected between WebDAV or SFTP. If connecting via SFTP, additional input of the print mark (SSH Host Key) information is required. When reinstalling the NAS, the print mark value changes, so it must be entered again.
- The linked account must have read and write permissions for the target folder.
- When registered as a standard storage, it automatically checks the lock (read-only) support of the NAS storage immediately after registration. The result can be confirmed in the 'Lock Support' item on the storage details [Information] tab, and can be rechecked with the [Check NAS Storage Lock] button. Only storages that support locking provide document editing.
- The common storage for general storage can only create one top-level folder.
- The permissions and policies set on the NAS do not integrate with SHIELD Drive. When accessing the NAS directly without going through SHIELD Drive, the SHIELD Drive policies do not apply.
3-3. SharePoint Integration
- The SharePoint connected folder must be pre-created, and the SharePoint account must use the same tenant as the administrator account.
- General storage can only be selected for common purposes.
- When registered as a regular save, the actual folder structure of SharePoint is displayed as is, and files added or deleted directly in SharePoint are also reflected in the SHIELD Drive list.
- SharePoint general storage does not provide document editing.
4. Storage Detailed Settings
Clicking on Storage in the list activates the right slide and provides the following tabs.
| tab | Content |
|---|---|
| Information | Type, Purpose, URL, Description, Creation Date Check (The secure NAS personal folder allows capacity settings, while the general storage NAS indicates whether locking is supported) |
| Permission | Member and Permission Settings by Role (View, Edit, Upload, Download, Move/Copy, Delete, Send File, etc.) |
| Activity History | View History of Information Changes and Role Settings |
5. Editing General Storage Documents
Documents in general storage can only be edited with the local Office app if all of the following conditions are met. A file can only be edited by one person at a time, and the file is locked during editing.
| item | condition |
|---|---|
| Storage | NAS registered as general storage or secure NAS (personal folder, shared folder) |
| Connection Protocol | SFTP |
| Lock Support | Storage details [Information] tab's lock support status is 'Supported' storage |
| Role Permissions | Allow Edit Permissions (Edit permission items are not displayed for storages that do not support locking) |
| File Format | docx, xlsx, pptx |
| Editing App | Local Office apps (Linux environment not supported) |
- WebDAV-connected NAS and SharePoint regular storage do not provide editing.
- Web co-editing and app co-editing are not supported.
- If another user opens the file being edited, it will open as read-only, and overwriting, moving, renaming, and deleting will be blocked.
- Closing the edit window will unlock it. It usually takes about 3 to 4 minutes to unlock, and it may take longer depending on the NAS response.
- Locking only prevents access through SHIELD Drive and saving after direct editing on the NAS. It does not prevent overwriting, moving, renaming, or deleting with direct access to the NAS, nor does it prevent manipulation of the NAS administrator account.
6. Add Role
Set the roles and permissions to be applied to the storage.
- Click the [New Role] button.
- Enter the role name and description.
- Add members (search by username/department or add all).
- Set conditions (role deactivation, positioning, etc.).
- Set permissions (viewing, editing, uploading, downloading, deleting, etc.).
- Click the [Create] button to save.
General storage allows for moving and copying within the same storage, and does not provide export or sharing permissions. Edit permissions can only be set on NAS storage that supports locking.
7. Storage Modification and Deletion
- Edit: Click the edit icon of the storage item to open the edit modal, make changes to the item, and then click [Edit]. The save method cannot be changed.
- Delete: After clicking the delete icon, enter the storage name exactly in the delete modal and click [Delete].
8. User-specific Capacity Management
You can set the total capacity and user-specific allocated capacity for personal use NAS/security NAS storage. This feature is only available in personal use NAS/security NAS storage with secure storage methods and does not apply to general storage. It is managed in the [Settings] tab of the storage details.
| Settings Item | Explanation |
|---|---|
| Total Storage Size | Total capacity available for use in this storage (GB) |
| Basic User Assignment | Default capacity (GB) granted equally to all users without individual allocation |
| Individual Assignment | Individually specify a capacity different from the default allocation for a specific user |
The Capacity Bar visually displays the distribution status at the top of the settings tab.
| Color | meaning |
|---|---|
| blue | Total Allocation Capacity by Default User |
| green | Total Individual Allocation Capacity |
| gray | Remaining Capacity |
| red | When the allocated capacity exceeds the total size |
8-1. Basic Capacity Settings
- Enter the total storage size (GB) in the [Settings] tab.
- Enter the default allocation per user (GB).
- The basic number of allocated users and the total allocation will be displayed automatically at the bottom. (Basic number of allocated users = Total number of users - Number of individually allocated users)
- Click [Save] to apply.
8-2. Individual Assignment Settings
- In the capacity setting area, click the [Set] button to open the individual allocation dialog.
- Filter the targets using the [All Users] / [Individual Assigned Users] tab, and search by username.
- Enter the individual quota (GB) for the target user in the capacity input field (integer of 1GB or more, multiple users can be set simultaneously).
- The allocation status in the top capacity bar is updated in real-time.
- Click [Save]. If you leave the input values empty, individual assignments will be released and the default assignment will be applied.
8-3. Capacity Overflow Validation
- If the sum of the basic allocation and the sum of individual allocations exceeds the total size, a warning is displayed and the [Save] button is disabled. The capacity bar is displayed in red.
- Solution: Increase overall size / Decrease default allocation / Perform one of the following: reduce or release individual allocations.
